This Privacy Policy explains what information we collect, how we use it, and how we protect it in the course of providing returns processing, inventory handling, and related logistics services. By engaging our services, you agree to the practices described in this policy.


2. Information We Collect


We collect only the information required to operate our services efficiently and securely.


Client Account Information

  • Business name, primary contact name

  • Email address and phone number

  • Billing details and account preferences

Returns & Order Data

  • Order IDs and product SKUs

  • Item descriptions and return reasons

  • Shipment and tracking details

Inventory & Inspection Data

  • Condition grading (e.g., Grade A / B / C)

  • Inspection photos captured during processing

  • Disposition records and inventory status


Platform & Integration Data

  • API connections to ecommerce platforms (e.g., Shopify)

  • Limited-access credentials required for return processing

Communications

  • Operational emails, support requests, and service-related correspondence


Reprise does not collect or store consumer payment information. Any customer data encountered is processed strictly as required to complete return workflows on behalf of the Client.


3. How We Use Information


We use collected information strictly to operate and improve our services, including:

  • Processing returns and triggering refunds on the Client’s behalf

  • Inspecting, grading, and recording inventory condition

  • Executing disposition instructions (restock, discard, liquidation, etc.)

  • Communicating with Clients regarding operations, issues, and updates

  • Maintaining internal records and audit trails

  • Improving operational efficiency using aggregated, non-identifiable data


We do not:

  • Use Client data for marketing purposes

  • Sell or rent data to third parties

  • Use data outside the scope of providing contracted services


4. How We Share Information

We do not sell or broadly share Client data. Limited sharing occurs only when necessary:

Shipping & Carriers

  • Information required to process return shipments (e.g., UPS, FedEx, USPS)

Service Providers

  • Trusted third-party tools (e.g., inventory systems, image storage, analytics platforms) that support our operations

  • These providers are contractually obligated to protect data and use it only for service delivery

Legal Requirements

  • When required by law, regulation, subpoena, or government request

All other data remains confidential and is not shared without explicit Client consent.

5. Data Security

We implement reasonable administrative, technical, and physical safeguards to protect data, including:

  • Secure handling of platform integrations and credentials

  • Restricted system access based on operational roles

  • Encrypted systems and secure data storage practices

  • Regular monitoring for unauthorized access

While we take data security seriously, no system is completely immune to risk. Clients are responsible for maintaining the security of their own systems and credentials.

6. Data Retention


We retain Client data only as long as necessary to operate our services and meet legal obligations:

  • Operational data: retained for the duration of the service relationship

  • Return inspection data and images: retained for up to 12 months

  • Billing and financial records: retained as required by law

Upon termination, we will delete or anonymize Client data within a reasonable timeframe (typically within 30 days), unless retention is required for legal or compliance purposes.


7. Your Rights


As a California-based company, we align with applicable data protection laws, including the California Consumer Privacy Act (CCPA), where applicable.

Clients may request to:

  • Access the data we hold about them

  • Correct inaccurate information

  • Request deletion of data (subject to legal and operational requirements)

8. Cookies & Website Data


Our website may use basic analytics tools to understand traffic and usage patterns. These tools do not collect personally identifiable information without user consent. We do not use advertising cookies or sell behavioral data.

We may update this Privacy Policy from time to time. When we do, we will update the “Last updated” date and notify active Clients of material changes. Continued use of our services after updates constitutes acceptance of the revised policy.
